IT-Enterprise runs digital transformation of Come Back Alive Foundation with AI assistant to simplify routine operations

IT-Enterprise has completed the second stage of digitalization for the Come Back Alive Foundation, implementing a unified platform for managing the Foundation's business processes. It has replaced the client’s legacy patchwork software, including 1C (made in Russia), Asana, Dilovod, and Excel.

“The team had to ensure that all the CBA Foundation's processes run as quickly and flexibly as possible. This was our top priority goal. For this digitalization project, we chose a Ukrainian vendor with appropriate expertise, experience, and resources. As a result, we got transparent digital processes, real-time data, and accurate analytics. All this facilitates our daily fundraising, procurement, transfer and reporting activities,” said Taras Chmut, Director of the Come Back Alive Foundation.

The key stages of the project were completed during the full-scale war. Specifically, comprehensive management of business processes was implemented with regard to security factors, which are crucial given the sensitivity and importance of the Foundation's operations.

“We involved the IT-Enterprise team to implement end-to-end business processes. Now, with the help of new digital tools, the internal team efficiently processes requests from military units, manages procurement and invoices, receives and issues goods, runs accounting and generates cash flow documentation. It is digitalized and optimized processes that allow us to work faster and have a “helicopter view” of all the Foundation's operations,” said Oleh Karpenko, Deputy Director of the Come Back Alive Foundation.

Mr. Karpenko added that thanks to the unified platform, every stage of the processes can be tracked end-to-end: from the accrual of funds and receipt of a purchasing request to procurement and distribution. The ERP system automatically monitors the Foundation’s projects and operations related to approving procurement operations, providing financial analytics, and creating cash flow or accounting entries. All this makes for an interconnected set of processes.

The finance module automatically processes more than 70 thousand bank statements per month as raising public funds implies working with numerous donations and receipts. Moreover, improvements in treasury processes have allowed the client to achieve up to 99.5% accuracy in the automatic processing of bank statements. The automation has also covered the creation of cash flow reports, processing of expense statements and generation of procurement reports, which are then published on the Foundation's official website.

The platform’s new, specially trained AI assistant has taken over the processing of invoices, linking them to requests from military units, and internal analytics. Since all processes—accounting, procurement, and warehousing—now follow the same standards, this has eliminated data duplication, improved data accuracy, and simplified routine communications within the team.

Requests from military units are now processed centrally on the IT-Enterprise platform. It automatically reserves goods for the needs of military units, tracks their movement and monitors the status of signing delivery/acceptance certificates. At the same time, the system allows users to track items by their serial numbers, which is applicable for cars, UAVs, radios, power supply units, night optics, etc. In this way, each drone or laptop can be monitored at all movement stages: from purchase to transfer to a military unit with a note that clearly shows the responsible person. This helps to avoid incidents where the goods purchased by the Foundation would be misused.

All data on the CBA Foundation's operations is available in real time, enabling it to quickly generate summary reports on expenses, procurement, requests, and cash flow. The reporting functionality plays a great role in supporting public relations, so analytical dashboards are available on the Come Back Alive website in the reporting section.

Another key component is the security module. There are uniform rules for accessing the IT system to guarantee information security and data protection. The change log helps to keep records of every user action, user data, change description and time, while security profiles block access to sensitive data.

“To digitalize Come Back Alive’s business processes, we have used the most cutting-edge Industry 4.0 technologies. In particular, AI has allowed us to almost completely automate the processing of financial analytics and reporting. Now the Foundation’s team can benefit from faster processes and more transparent operations, and focus on tasks that contribute to achieving their targets in supporting the army,” said Oleg Shcherbatenko, founder and CEO of IT-Enterprise.


The Come Back Alive Foundation has been operating in Ukraine since 2014, purchasing equipment that helps to save soldiers’ lives, including thermal imaging optics, quadcopters, vehicles, surveillance and reconnaissance systems. The Foundation was the first charity in Ukraine to receive permission to purchase and import military and dual-use goods. The Foundation's instructors have trained more than 10,000 highly qualified military specialists: sappers, snipers, operators of UAVs and infantry weapons, etc. The current priority for the Foundation is to provide support to military units in war zones in the South and East of Ukraine. The Foundation provides assistance in seven key areas: thermal imaging and night optics, intelligence and information processing equipment, communications equipment, transportation, equipment for headquarters and mobile command posts, optics and equipment for sniping, and sapper equipment. The Foundation regularly reports on its operations to all donors, government agencies, and the Ukrainian society, having raised a total of UAH 12+ billion since 2014.
